This policy explains how Jarvis AI Ltd ("JarvisAI", "we", "us") collects, uses and protects personal data when you visit our website, message us on WhatsApp or chat, or become a client. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).
1. What data we collect
Depending on how you interact with us, we may collect:
- Contact details you provide via our website form, WhatsApp, live chat, or email — such as your name, phone number, email address, business name, and the content of your message.
- Conversation data when you interact with our AI chat or voice assistants — including the text or transcript of the conversation, used to respond to you and improve the service.
- Technical data such as IP address, browser type, and general usage data, collected via cookies and similar technologies (see our Cookie Policy below).
2. How we use your data
- To respond to your enquiry and provide the services you request (legal basis: contract or legitimate interest in responding to enquiries before a contract exists).
- To operate and improve our AI receptionist, chatbot and booking systems for our clients and their end customers (legal basis: contract and legitimate interest).
- To send you information you have specifically requested, such as a follow-up after a consultation call (legal basis: consent or legitimate interest).
We do not sell personal data to third parties, and we do not use your data for purposes unrelated to those described above without asking you first.
3. Who we share data with
We use a small number of trusted service providers ("processors") to deliver our services. Depending on the service you use, this may include:
- AI language model providers (e.g. Anthropic) to power chat and voice conversations
- Communication platforms (e.g. WhatsApp/Meta, Telnyx, Vapi) to deliver messaging and voice calls
- Calendar and booking providers (e.g. Google Calendar) to schedule appointments
- Cloud hosting and infrastructure providers (e.g. Google Cloud) to run our systems
Some of these providers may process data outside the UK, including in the United States. Where this happens, we rely on appropriate safeguards recognised under UK GDPR, such as Standard Contractual Clauses or the provider's participation in a recognised data protection framework.
4. How long we keep data
We keep enquiry and conversation data for as long as reasonably necessary to respond to you, provide our services, and meet our legal and accounting obligations — typically no longer than 24 months after our last contact with you, unless you become a client, in which case data is retained for the duration of the contract plus a period required by law (typically 6 years for financial records).

Under UK GDPR, you have the right to:
- Request access to the personal data we hold about you
- Request correction of inaccurate data
- Request erasure of your data ("right to be forgotten")
- Object to or restrict certain processing
- Request a copy of your data in a portable format
- Withdraw consent at any time, where processing is based on consent

6. Cookie Policy
Our website uses cookies and similar storage technologies. Under PECR, we only set non-essential cookies (such as analytics) after you have given consent via the cookie banner. You can change your choice at any time by clearing your browser's site data and reloading the page.
- Strictly necessary — required for the site to function (e.g. remembering your cookie choice). These cannot be switched off.
- Analytics (if enabled) — helps us understand how visitors use the site, only loaded after consent.
We do not currently use advertising or cross-site tracking cookies.
7. Children's data
Our services are intended for business use and are not directed at children. We do not knowingly collect personal data from anyone under 13.
